Student Affairs Governance Policy

Purpose

This policy provides a structured framework for student governance, leadership, and engagement through the Student Affairs Office of SIT Hyderabad. It aims to empower students to take on meaningful roles while ensuring accountability, discipline, and alignment with institutional goals.

Scope

This policy applies to all officially recognized student leaders, committees, clubs, and professional societies functioning under the Student Affairs Office.

Term of Office and Performance Evaluation

  • The term of responsibility for all student office bearers is one academic year.
  • Renewal for a subsequent year shall be based on performance, subject to the recommendation of the respective Head of Department and Student Affairs, and approval of the Director.
  • Office bearers failing to meet responsibilities, ethical conduct, or performance standards may be relieved of their duties mid-term with formal review.

Minimum Eligibility Criteria

To be considered for any leadership or committee role under Student Affairs, a student must:

  • Be a full-time student of SIT Hyderabad.
  • Maintain a minimum of 75% attendance across all subjects during the semester without any active backlogs.
  • Have no record of disciplinary violations.
  • Demonstrate satisfactory academic standing, leadership aptitude, and teamwork.

Code of Conduct and Attendance Policy

  • Students involved in Student Affairs must act with integrity, respect, and responsibility.
  • Any misconduct (academic dishonesty, indiscipline, or behavioral violations) will lead to immediate suspension from leadership roles.
  • Attendance exemptions for institutional representation or student leadership duties will be granted only upon prior written approval by the Director, supported by the HoD and Student Affairs Office.
  • Students are expected to compensate for missed academics and stay current with coursework.

Reporting and Review

  • Each committee, club, and society must submit a semester-wise activity report and annual performance summary.
  • An annual review will be conducted by the Student Affairs Office with departmental inputs.
  • Recognition, awards, or continuation will be based on performance, impact, and adherence to policy.
  • Monthly or subsequent bi-weekly meetings with the Council and Clubs will be conducted.
